Registration Information and Procedures
THE FALL PROGRAM GUIDE LISTING PROGRAMS OCTOBER 2010 - JANUARY 2011 IS ON LINE AND WILL BE MAILED TO ALL TOWN OF WEBSTER RESIDENTS THE FIRST WEEK IN SEPTEMBER.
REGISTRATION DATES
RESIDENTS – September 8, 2010
NON-RESIDENTS – September 15, 2010
- REGISTER EARLY! Most programs have limited and minimum enrollments. Also, REGISTER EARLY TO AVOID THE PROGRAM BEING CANCELLED DUE TO LOW ENROLLMENT!
- Programs with insufficient registration will be cancelled five (5) business days prior to the program start date.
- The registration deadline date for Girls on the Run is September 13th.
- Webster residents may register beginning September 8th. Non-residents may register for all programs beginning September 15th. See definition of resident and non-resident on the next page. PLEASE NOTE: Even if you live in the Webster Central School District and/or have a Webster mailing address, you may not live in the Town of Webster or pay Webster Town taxes.
- Under no circumstances will anyone be allowed to participate in any of the programs unless he/she first registers with the Webster Parks and Recreation Department and pays the appropriate fee. Registration forms will not be taken by instructors.
- Incomplete registrations are subject to being returned to the sender.
- Phone registrations WILL NOT be accepted.
REGISTRATION PROCEDURES
- REGISTRATION DATES: Registration begins September 8th for Town of Webster residents and on September 15th for non-residents. Please remember to register early as we have the right to cancel classes that do not reach their minimum. All registration forms received prior to and on September 8th will be processed together on September 8th for residents only; and non-residents on September 15th. NOTE: If you want to be in the same program with another person (residents only), send the registration together in one envelope and make note of your request. We will do our best to accommodate requests, but cannot guarantee requests will be made.
- LOCATION: Registrations may be mailed to the Webster Parks and Recreation Department at 1350 Chiyoda Drive, Webster, NY 14580, OR dropped off in the yellow “drop box” located outside the main entrance of the Webster Recreation Center, 1350 Chiyoda Drive.
- ONLINE REGISTRATION: Visit our website at www.websterparksandrecreation.org to register online. Online registrations must be paid by credit card and be done no sooner than the dates listed above but no later than at least seven days prior to the start of the class/program.
- REGISTRATION FORM: Please read the directions THOROUGHLY so that all information requested is COMPLETE and ACCURATE. Errors will result in possible exclusion of the program. We also cannot process your registration form if it is unsigned. Corrected forms may be resubmitted; however, no program spaces will be held. Spaces are filled on a first come first served basis. Registration forms are located at the back of the program guide.
- Webster Parks and Recreation reserves the right to modify or change programs and fees as necessary. Participation by any person in a program may be terminated at any time by the department at its discretion.
PROGRAM FEES
- Checks or Money Orders are to be made payable to “WPRD” or “Webster Parks and Recreation Department;” except where otherwise noted in the program description. Programs are not prorated.
- Visa and MasterCard are accepted and encouraged for ease of payment and refunds.
- Cash is also accepted, exact amount only. We cannot make change.
NON-RESIDENT FEES
- A NON-RESIDENT IS DEFINED AS ANYONE NOT PAYING WEBSTER TOWN TAXES. Please note that many Webster School District residents are not Town of Webster residents. Non-residents are required to pay an additional $5.00 fee per program for:
- Any program that meets more than one time, regardless of program fee (this includes FREE programs).
- Any program that has a fee exceeding $15.00.
REFUND AND TRANSFER POLICY
- For all programs that are cancelled or modified by the Parks and Recreation Department, FULL REFUNDS WILL BE GIVEN.
- For all persons who sign up for programs and then decide to cancel:
- You must cancel AT LEAST TEN (10) DAYS BEFORE THE START OF THE PROGRAM. Anyone cancelling after this ten (10) day period WILL NOT be issued a refund.
- A refund in the form a CREDIT VOUCHER, MINUS A $10.00 PROCESSING FEE PER PARTICIPANT, PER PROGRAM will be issued. Credit vouchers will be valid for one (1) year from the date of issue.
- You must submit a written request stating your name, address, phone number, the program number, and the name of the participant along with an explanation of cancellation. You may email requests to whelbig@ci.webster.ny.us.
- No refund will be granted once the program has started.
- No transfers from one class to another, one program guide to another, or substitutions of participants are allowed.
- Participants are required to keep track of their individual programs. WPRD will not be responsible for programs missed due to forgetfulness or missing receipts.
- Participants should only register members of their immediate family or household.
- A $20.00 service charge will be assessed for all checks returned to the Recreation Department. Returned checks cannot be re-deposited.
INSURANCE
- The Town of Webster maintains a standard liability insurance policy that does not cover medical cost for anyone injured during the normal course of participation in any Recreation Department program or facility. All persons participate at their own risk.
UPCOMING PROGRAM GUIDES
The Parks and Recreation program guide is delivered to all Town of Webster residents three times a year.
The program guide is also on our website and copies are available at our office and the Webster Town Hall.
WINTER/SPRING GUIDE – Available online January 1st, and mailed to town residents the first week in January.
SUMMER GUIDE – Available online May 1st, and mailed to town residents the first week in May.
